Privacy policy

What this site is

This website is a brochure for Dynamic Health Institute, a telehealth medical practice. It describes the practice and its programs and sends every action elsewhere: starting an intake, signing in to the patient portal, or opening a chat with our team. The site itself has no shopping cart, no patient account, and no way to pay for anything here. There is one thing it does ask you for: a newsletter sign-up, which takes a first name and an email address and is described below. Apart from that form and the chat widget, no page here asks you to fill in a field of any kind.

What happens automatically

Like almost every website, ours runs behind an edge server that logs each request it receives: the visiting device’s IP address, its browser’s user agent string, and the timestamp of the request. This is ordinary web-server operation, not something built into the pages themselves, and it happens whether or not you interact with anything on the page.

How long these logs are kept is set by the technical configuration of the hosting environment we use, not by this policy. If you want to know the current retention period, or want us to look into a specific request, contact us at the address at the end of this page.

Cookies and local storage

If you follow a marketing link, a referral link, or arrive from a search result, this site’s referral tool records where you came from. It is first-party only: it reads this page’s address and writes to your own browser, and contacts no server of its own.

  • A first-touch cookie set, kept for 90 days: it records the UTM campaign parameters in the link you first followed (source, medium, campaign, term, and content) and the page you first landed on.
  • A last-touch cookie set, kept for 7 days: it records the same campaign parameters again for your most recent visit through a link carrying them.
  • A referral cookie, kept for 30 days: if you arrive through a link shared by one of our advocates, it records that advocate’s code so they are credited if you go on to start an intake. Following a different advocate’s link replaces it, so the most recent one is the one recorded.
  • sessionStorage values, cleared when you close the browser tab: the page you first landed on and the address of the site that referred you here are recorded on every page you visit, and the same UTM and referral details are recorded there too when a link carries them.
  • A cw_nudge_seen session key, set once the chat greeting has shown itself, so it does not repeat during the same visit.
  • A dhi_nl cookie, which stops the newsletter prompt being shown to you again. It is kept for 90 days if you close the prompt without signing up, and for 400 days if you do sign up.

If a referral code was recorded during your visit, it is appended to the survey link when you leave this site to start an intake, so that code travels with you.

Alongside it we append where the visit came from, as two short labels: a source and a medium, for example chatgpt and ai, instagram and social, or direct and none. These come from the campaign parameters in the link you followed, and where the link carried none, from the address of the site that sent you, reduced to its name. The address itself never leaves your browser and the page you were on there is never read, which matters because a search or a question typed to an assistant can appear in that address. We use these labels to understand which routes bring people to the practice, and nothing about them identifies you.

Some links carry a tracking identifier belonging to the platform they came from, such as igshid from Instagram or fbclid from Meta. We read only whether one is present, to name the platform. The identifier itself is discarded: it is not stored, and it is removed from the landing-page address we keep.

The chat widget

The chat widget on this site is Chatwoot, which we host ourselves. Before a conversation starts, its pre-chat form asks for your name, email address, and phone number, so a member of our Patient Success team can reach you and follow up. Conversations are read by that team.

Chat is a good place for logistics questions (hours, billing, how a program works). It is not the place for medical details: please do not type symptoms, diagnoses, or other clinical information into chat. Use your patient portal for anything that belongs in your medical record.

The newsletter sign-up

A form on this site invites you to join our newsletter. It asks for two things: your first name and your email address. There is no message box and nothing else about you is requested, because this form is not a route to care and nothing you send through it becomes part of a medical record. Please do not use it to tell us about symptoms, diagnoses, or anything else about your health. Use your patient portal for that.

Along with your name and address, the form sends the source and medium labels described under “Cookies and local storage” above, the advocate code if one was recorded, and the address of the page you were reading when the form appeared. Those tell us which routes bring people to the practice. They say nothing else about your visit.

The form posts to this website, which passes it to Dynamic Health Institute’s own systems. We keep your details until you unsubscribe, and every message we send you carries a link to do that.

Health information

Information about your health and care (medical history, lab results, prescriptions, visit notes) is not held on this website. It lives with the practice’s clinical systems, the patient portal, and our electronic medical record vendor, and stays within Dynamic Health Institute’s own care. dynamichealthinstitute.com and dynamic.club are both operated by the same practice.

This policy describes only this website, not how the practice handles your health information as part of your care. For questions about your health information, sign in to your patient portal.

Children

This site is not directed at children under 13. The newsletter sign-up carries no age check, so please do not use it on behalf of a child under 13.

Changes to this policy

We may update this policy as the site or its tools change. When a change is material, we move the effective date at the top of this page to reflect it.

Where your information goes

Apart from the newsletter sign-up described above, this site has no fields for you to fill in. Submitting that form sends your name, your email address, the source, medium and advocate labels your browser already held, and the address of the page you were on, to a server we operate. The chat widget, also described above, sends what you type into it to a server we operate too. Apart from those two, nothing stored in your browser is sent to a server of ours. When you follow an action here, you're handed off to one of these destinations, where your information goes.

Loading a page here contacts only the hosts listed below. Automated tests check this across the site's core pages, and a request to any other host fails the build.
